FAQ – Group & Event Leaders
How does the group pre-order process work?
Our group orders run on a clear, step-by-step pre-order process designed to make things simple for group leaders and parents.
1. Initial setup
We start by discussing your group, event or trip, the garments you’d like to offer (for example t-shirts, hoodies or caps), and your required delivery date.
If you already have a logo or artwork, we’ll use that. If not, we can help create a design that suits your group.
2. Design approval
A final design proof is shared for approval before any orders are opened. This ensures everyone is clear on how the finished items will look.
3. Sizing & preparation (where needed)
Size charts are always added with garment listings to aid in choosing the right sizes. For larger groups, we can provide sizing samples and support sizing meetings so participants can confidently choose the correct size before ordering.
4. Orders are collected
Orders are then collected during a fixed ordering window, either:
- Directly from parents and participants via a "shop" on our website or
- Centrally by the group organiser
Payment is taken before production begins.
5. Pre-order closes & order is finalised
Once the ordering deadline passes, the pre-order closes and the order is locked. This allows us to accurately prepare the full bulk order and avoid delays or late changes.
6. Printing & production
All garments are printed in-house once the final order is confirmed. As everything is made to order, this helps ensure consistency and quality across the whole group.
7. Delivery
Finished items are delivered as a single bulk delivery to the agreed address, ready for distribution to the group.
This structured approach helps keep costs down, reduces waste and errors, and ensures everyone receives their items on time - without the group organiser having to chase individual orders.
Can you help with the design?
Yes. If your group already has a logo or artwork, we can use that. If not, we’re happy to help create a design that suits your group, trip, or event.
Mock-ups are created and designs are always approved before orders open.
How do parents or participants place their orders?
Depending on what works best for your group, orders can be:
- Collected by the group organiser, or
- Placed directly by parents/participants through a dedicated page on our website
We’ll agree the setup with you in advance.
Is there a minimum order quantity?
Most group orders work best with a minimum of around 10 items, but this can vary depending on the design & garments chosen.
If you’re unsure, just ask and we’ll advise.
Do you provide sizing samples?
Size charts are always added with garment listings to aid in choosing the right sizes. For larger groups/events, we can provide sizing samples and support sizing meetings so participants can confidently choose the correct size before ordering.
Sizing samples are supplied as part of a refundable sample pack, which is credited against the final order once confirmed.
Can we run a sizing meeting?
Absolutely — we actively recommend this for larger groups or trips.
Sizing meetings help reduce incorrect orders and give parents confidence when ordering.
Can you set up an online shop for our group?
Yes. We can create a dedicated shop page for your group, allowing parents and participants to order directly.
The pre-order is open for a fixed period - duration is up to you. After the cutoff date, the order is closed and sent to print.
How long is the pre-order open for?
Most group pre-orders are open for around 2 weeks, but this can be adjusted depending on your needs. We also run regular pre-orders - usually twice per month.
Order deadlines are clearly communicated before the pre-order opens.
Can we order more at a later date?
Yes, your products can remain in the shop for as long as you like and future orders will be handled within the usual pre-order timelines clearly displayed on the banner at the top of the website. Prices may change over time to stay in line with costs.
When do we need to pay?
Payment is required before production begins.
If parents are ordering individually, they pay at checkout. If the group is paying centrally, an invoice will be issued.
How are group orders delivered?
Group orders are usually delivered in one bulk delivery to the group leader or agreed address. This helps keep delivery costs down and ensures everything arrives together.
Individual direct postage is available if that's something you'd prefer.
What happens if someone misses the deadline?
Once the pre-order closes, we’re unable to accept late orders. This keeps production on schedule and avoids delays for the rest of the group. However there will usually be the option to add more orders on to the next general pre-order if the order is not time sensitive.
